Executive Assistant to CEO, Global Public growing tech company, Santa Clara, CA

Job Description

Our client is a Global market leader in precision timing. They are seeking an exceptional Executive Assistant to support the CEO who currently travels between a European location and Company headquarters in Santa Clara.The Executive Assistant to the CEO is a highly skilled, organized professional. The EA will work independently and as a team member, interacting with all levels of the organization, the Board of Directors, Community Leaders, shareholders, and consumers. This role also manages special projects, event/meeting planning, complex travel arrangements, and maintains calendars. EA must be a self-starter who can be discreet and hold sensitive information in the strictest confidence. The EA, Office of the CEO must always uphold the Corporations image and integrity.

***Candidate must be highly polished, efficient, professional, and friendly, with perfect attention to detail.

Specific Duties Include

  • Monitor and manage the flow of information to and from the CEO, keeping informed and initiating appropriate responses. Prepare routine correspondence for CEOs approval/signature.
  • Exercise judgment and initiative, practice a high degree of flexibility, operate effectively in a fast-moving environment and multi-task to get the job done.
  • Organize all Board of Directors meetings to include travel arrangements, hotel and dinner reservations, ground transportation (airport and local transfers), meeting room set-up, catering as needed, and submitting Director expenses for reimbursement.
  • Efficiently and effectively organize and prioritize assignments and projects to meet management needs.
  • Produce minutes and actions from meetings as needed.
  • Operate audio-visual equipment, and Teams/Zoom meetings.
  • Manage calendar and schedule meetings to leverage time and priorities.
  • Coordinate all logistics and details of travel, to include arranging commercial and/or private aircraft reservations; hotel and ground transportation arrangements; preparing detailed itineraries; renewing passports and applying for international visas; and submitting travel expenses according to T&E policy.
  • Provide administrative support to ensure day-to-day and special events are conducted in a professional and friendly manner as a representative of the Company.

Required Skills

  • BS/BA degree (Business major preferred).
  • Previous experience with Board of Directors strongly preferred.
  • Superior event planning skills (meeting and travel).
  • Ability to orchestrate logistics and activities of a complex, fast-paced office.
  • Strong analytical skills.
  • Meticulous attention to detail and follow-up skills.
  • Proven written and editorial skills.
  • 5+ years supporting C-Suite executives and/or management experience of increased responsibility.
  • Ability to travel domestically and internationally (20-25%)
  • Requires working at Corporate Office; flexible remote work as needed.
  • High level of familiarity/proficiency with Microsoft Office.
